About Cheyanna’s Champions 4 Children (CC4C) CC4C builds and supports teams around families with children with rare and undiagnosed conditions. Each year, CC4C welcomes 12 new families, matching the children with a high school team and providing financial assistance and family-focused health and wellness programs. CC4C provides additional outreach, support, and resources thanks to our staff, board members and volunteers. CC4C has served over 100 families and enthusiastically works to reach the high demand of serving more.

As CC4C prepares to welcome our new Executive Director, we are excited for our next steps and continued development. About the Events and Grant Manager role


Overview of Position: The Events and Grant Manager is responsible for planning and executing CC4C events, leading teams from the initial conception of the event to its successful completion. This role of Event Manager requires excellent event-planning skills along with the ability to define project milestones, deadlines, and coordinate both teams and external contractors to ensure a successful and enjoyable event that meets organizational strategic goals and expectations. This role is responsible for the Teen Ambassador program, including, but not limited to the addition of College Ambassador program. This position will report directly to the Director of Programs.


Under the guidance of the ED, The Grant Manager will be responsible researching, writing and coordinating the grant application process; management of proposals and partnering with the Administrative Coordinator to maintain the donor database.


Event Manager Responsibilities:

  • Understand requirements and details of each event

  • Understand the organization’s needs and wants

  • Expand community awareness events, ie, beneficiary rides, percentage of proceeds, etc.

  • Plan and organize events with attention to financial and time constraints

  • Book venues and schedule speakers, entertainment, etc.

  • Coordinate social media, marketing and PR for events and/or beneficiaries.

  • Meet with Director of Programs regularly to coordinate event logistics

  • Search and compare various vendors for price and quality of services offered (catering, decorators, musicians etc.).

  • Negotiate with vendors to achieve the most favorable terms (RFPs).

  • Hire, train and oversee vendors, contractors and/or volunteers to specific duties for each event.

  • Evaluate services received from vendors, contractors and volunteers. Provide reports as needed for assessments.

  • Project manage all event logistics as requested by Director of Programs as needed (preparing venue, invitations, food, drinks etc.). Ensure event committee team members are completing tasks and provide updates of the status of timeline as needed.

  • Track and monitor event expenses regularly to ensure funds are utilized within the budget parameters.

  • Collect vendor invoices and submit to Director of Operations and volunteers on a timely basis for payment.

  • As needed, ensure vendors and/or contractors submit In-kind forms for donation of services.

  • Work with Director of Programs and/or Executive Director to create event budget plan.

  • Offer solutions to resolve problems in a timely manner.

  • Evaluate event’s success and submit reports.

  • Manage Teen Ambassador program and expand its participation.

  • Manage College Alumni Ambassador program and initiate its inaugural year.

Grant Writer Responsibilities:

  • Write high-quality grant proposal narratives, applications, and supporting documents.

  • Responsible for researching, collecting data, and writing of each grant as requested by the ED.

  • Work with department managers to compile financials and data as applicable for each grant.

  • Manage the proposal submission process to ensure timely submission of all required materials.

  • Develop and maintains a proposal calendar.

  • Coordinate and follow-ups on the progress of submitted proposals.

  • Assist the ED with the development of an annual grant strategy.

  • Conduct prospect research to identify, cultivate and solicit new grants.

Qualifications:

  • Bachelor’s degree required.

  • A minimum of 2 years of experience as event coordinator or similar role

  • A minimum of 2 years of experience in research and grant writing; nonprofit experience a plus

  • Prior project management skills preferred and experience with project management platforms.

  • Portfolio of successful events

  • Proficient in MS Office suites (Office 365, Word, Excel, PowerPoint)

  • Excellent vendor management skills

  • Sense of ownership and pride in your performance and its impact on organization’s success

  • Critical thinker and problem-solving skills

  • Team player

  • Excellent time-management skills

  • Great interpersonal and communication skills

  • Demonstrated ability to write successful grant proposals

  • Knowledge of Austin area foundations and corporations

  • Detail-oriented, organized, deadline-driven

  • Clear, precise and compelling writing skills

  • Motivated self-starter with the ability to work independently with purpose and accuracy.

Working Conditions:

  • This position may work flex work hours to include occasional evenings and weekends to monitor organizational activities.

  • This position may work in the CC4C office environment and/or in nonstandard work environment, however, maintaining set office hours is required for some of the hours.

  • Must be available for weekly meetings and other check-ins.

  • Must be able to attend all CC4C events.
