Program Support Specialist

The Team and the Role: Although the word RARE would indicate otherwise, there are actually 30 million Americans living with a rare disease – that’s 1 in 10! More than half are children. Our mission at Cheyanna’s Champions 4 Children (CC4C) is to enhance the quality of life for children in Texas with rare and undiagnosed conditions. We are a faith- based organization that supports children and families by providing financial assistance for medical expenses not covered by insurance, support and connection to resources, and moments of joy and hope through memory-making experiences. Our unforgettable experiences range from intimate dinners and support groups for just a few families to galas, golf tournaments, races, and parades for hundreds. As our primary administrative support person, this role works closely with our Director of Programs, Director of Operations and Volunteers, and the rest of our leadership team to help create and manage experiences and other programs for our families.

 

Opportunity: The Program Support Specialist works on events and programs across the organization and is excited to tackle anything from event logistics to marketing support to budget tracking and volunteer and/or donor documentation. The role requires excellent event planning and organizational skills along with the ability to support internal and external teams, and track data and metrics for ROI to make strategic recommendations for future programming. This critical member of the team will have the opportunity to work with every aspect and person involved with the organization – and have and make a lot of fun in the process!

 

Responsibilities:

  • Support coordination of logistics for memory-making experiences and events for children, families and the community (currently 2 major fundraising events a year, plus supporting third-party events)

  • Research venue and vendor options, conduct site visits, and help negotiate contracts for event vendors

  • Support all aspects of event logistics, including venue preparation, catering, entertainment, traffic management, etc.

  • Serve as primary point of contact onsite/day of events, troubleshooting and resolving any logistics issues that arise

  • Lead communications for events including invitations, guest list compilation, RSVP process, social media content (including event promotion and sponsorship recognition), website updates, etc.

  • Manage event budgets, track and report on event revenue/expenditures (including in-kind support) and metrics

  • Manage post-event wrap-up and gratitude process, including donation thanks/receipts, vendor communications, participant surveys and communications, etc.

  • Maintain digital files for organization in Dropbox

  • Run monthly financial reports from all platforms

  • Support with data entry and reports from CRM

  • Make website updates, including retaining primary responsibility for updating child Dream Journals

  • Assist with volunteer and human resources documentation (applications, background checks, etc.)

  • Record and maintain Family Services Expenses for monthly reports and updates

 

Our Ideal Candidate has:

  • A heart for our mission and supporting our families (essential)

  • Demonstrated experience supporting or managing events - both large and small

  • A high comfort level with learning a variety of software platforms – Microsoft Office Suite, event management, project management, donor database, email marketing, etc.

  • Grace under pressure – remaining solution-focused with a positive attitude

  • Meticulous attention to detail

  • A fast-paced, deadline-driven, communicative work style

 

Working Conditions:

  • This role is partially remote, with the requirement to travel to CC4C office for leadership team meetings a minimum of weekly, plus travel to local venues, meeting sites, etc.

  • Must be able to attend CC4C events, which requires evening/weekend flexibility –weekday hours can be flexed to offset these commitments.

  • Must have own transportation to transport and be able to lift event-related supplies and equipment.
